What to teach

Nothing about how staff do these four tasks changes — no new buttons, no new steps. The only difference is what's shown on screen while a file uploads. Frame training as a one-line callout during existing training on these flows, not a standalone lesson.

Step-by-step: what staff will now see

When any of the following actions trigger a file upload, staff will see a spinner with (once the upload gets going) a percentage and a line showing the file size and upload speed, instead of a bare spinner:

1. Clocking in or out with a photo — tap the clock button, take the photo as

usual. While it uploads, watch for the percentage and speed line under the spinner.

1. Adding a file to a patient's record — pick a photo, document, or screenshot

as usual from a patient's Files screen. Same progress display while it uploads.

1. Recording a patient note with voice — record as usual from a patient's Notes

screen. The percentage may take a moment to appear, since the recording's size isn't known until the recording finishes and the upload begins.

1. Sending a voice message in staff chat — record and send as usual. Watch for a

small percentage inside the send button while it uploads (no size/speed line here — the button is too small for it).

Key point to emphasize

If the percentage stops climbing and the speed text disappears, that's a real sign the upload has stalled (usually a connectivity issue) — encourage staff to move to a better connection or retry, rather than assuming the app is just being slow. This is the core value of the change: staff can now tell the difference between "working" and "stuck," which they couldn't before.

Where this doesn't apply

This progress display is specific to these four upload flows in the mobile app. Other loading spinners elsewhere in the app (e.g. page loads, saves) are unchanged and won't show a percentage.
