Frame it as: "Quotations now work procedure-by-procedure, just like invoices already do." Staff who already know how to adjust discount/insurance on an invoice will recognize the same controls here.

Step-by-step: building a quotation with mixed insurance

  1. Open the patient's chart and start a new Quotation, or edit an existing one.
  2. Select the procedures to include. If the patient has active insurance, eligible procedures are automatically marked as insured and given an estimated insurance coverage amount — no action needed for the common case.
  3. To adjust one procedure specifically:
  • Click its Discount control to open the discount popup; enter either a discount amount or a discount percentage and confirm.
  • Use the insured checkbox on that line if a procedure should or shouldn't be covered by insurance, overriding the automatic default.
  • (Saudi Arabia clinics only) use the max-limit checkbox on a line to control whether that specific procedure counts toward the insurance policy's coverage cap.
  • Use the tax toggle on a line to mark whether that specific procedure is taxable.
  1. Check the Total row — if the patient's tax rate and their insurance company's tax rate differ, you'll see separate "Patient VAT %" and "Insurance VAT %" figures instead of one blended rate, plus a breakdown popover next to Total.
  2. If you need to override tax manually for the whole quotation, you can type directly into the quotation-level Tax or Tax% field — but this forces both the patient and insurance portions to use that single rate going forward for this quotation, discarding any per-procedure split that was in place.
  3. Save. The quotation total should now match what the eventual invoice will show for the same procedures.

Step-by-step: turning on the new print design

  1. Go to Settings → Print → Invoice Form for the branch you want to change.
  2. Find Quotation Design and select the option (it currently displays as "New Customer" in the dropdown — a mislabeled shared translation string, not a separate feature; it's the only option, so just pick it).
  3. Optionally fill in Quotation Details — free text (up to 2000 characters) that prints on the estimate, e.g. payment terms or a disclaimer.
  4. Save, then refresh the page before printing a quotation to make sure the change is picked up.
  5. Print a quotation to check the layout — it shows an itemized procedure table, per-tooth breakdown, totals (with a single combined tax line, not split), and doctor/patient signature blocks at the bottom.

Common mix-ups to flag in training

  • The quotation-level Tax field being disabled is not a bug — it means the system found different patient/insurance tax rates and is protecting the split. Point staff to the per-procedure Discount modal instead.
  • The "insurance remaining" figure shown on a quotation currently always shows the patient's full policy limit — it does not subtract insurance already used that day. Tell staff not to treat it as a live balance; the invoice screen is the source of truth for what's actually been used.
  • The new print design must be turned on per branch — a multi-branch clinic won't get it everywhere automatically.
  • The new print layout shows one combined tax figure, even for quotations that do have a patient/insurance split under the hood — staff shouldn't expect the printed page to show two separate tax lines.
