For Sales

The pitch

"Your inventory system already tracks every purchase, sale, and transfer — but when the actual shelf doesn't match what the system says, how do you fix it today? Manually editing numbers, with no record of who changed what or why? Stock Counts gives you a real physical-count workflow: freeze what's expected, count what's there, see the exact variance, and let the system book the correction as a normal, auditable inventory adjustment — or just record the count and leave stock untouched, your call."

Good discovery questions

  • "How do you currently handle the gap between what the system says you have and what's actually on the shelf?"
  • "Who does your physical counts today — and do they use the same system as everyone else, or a spreadsheet on the side?"
  • "When you last found a discrepancy, could you tell who counted it, when, and what the system used to say before the fix?"
  • "Does counting stock currently stop other staff from selling or using that same inventory mid-count — or could someone sell something that's simultaneously being counted?"

Objection handling

"We already track inventory — why do we need a separate 'count' feature?" Tracking transactions (purchases, usage, sales) tells you what should be true. It doesn't catch breakage, theft, mis-scanned transactions, or expired stock quietly discarded without a record. A count is the only way to verify the system against reality — and to fix drift with a trail, not a silent edit.

"Won't counting stock stop the clinic from operating?" Only the storage being counted is locked, and only while the count is open — everything else keeps moving. Counting the whole clinic at once is possible but is a deliberate, explicitly warned-about choice, not the default. A single storage/room can be counted in isolation while the rest of the clinic operates normally.

"Can just anyone see or edit our counts?" No — it's permission-gated like everything else in Dentolize, and there's a specific narrower permission (View Created Stock Count) so a clinic can let junior staff count without exposing every count in the clinic's history to them. Confirming a count that changes live stock requires a separate permission from just counting — a clinic can let staff count without letting them touch stock levels.

"What if we count on paper first?" Supported — a spreadsheet with the counted quantities can be uploaded and matched back to the count in bulk, rather than re-keying everything by hand.

Competitive angle

Most practice-management inventory modules only track transactions, not reconciliation. A built-in count-and-adjust workflow — with per-storage locking, mobile barcode scanning, and a full audit trail down to who counted each line — is a differentiator worth naming specifically in inventory-heavy competitive conversations (multi-branch clinics, clinics with controlled substances or high-value consumables).

Who this resonates with

Practice owners and office managers at clinics that: run multiple storage locations or branches, stock high-value or controlled consumables, have been burned by inventory shrinkage they couldn't explain, or currently reconcile stock in a spreadsheet outside the practice-management system.
