Step-by-step: setting up a workstation (admin)

  1. Go to Account → Security.
  2. Scroll to Access Keys and click Create New Token.
  3. Check Desktop App (grants all three current scopes at once) unless there's a specific reason to grant a narrower set.
  4. Give it a label that identifies the physical workstation or room — e.g. "Room 2 — Panoramic Scanner" — not something generic like "Key 1". This matters later when auditing who did what.
  5. Click Create Key. Copy the key immediately — it's shown once as a string starting xak_... and cannot be retrieved again. Hand it to whoever is installing the desktop app.
  6. Repeat per workstation — one key per desktop app/room is the intended pattern.
  7. To decommission a workstation, revoke its key from the same list (the delete-icon button) — this immediately blocks it from authenticating and releases any room it was holding, without waiting for anything to time out.

Step-by-step: installing the desktop app (whoever sets up the workstation)

  1. Install the Dentolize Bridge desktop app on the Windows workstation physically connected to the scanner.
  2. On first launch, paste in the Access Key from step 5 above and confirm it validates.
  3. In General Settings, pick the correct branch and enter the exact room name configured for that branch in Dentolize (it must match, not just be similar).
  4. In X-Ray Settings, select the TWAIN scanner device attached to this workstation, and choose upload mode (automatic vs. manual) and output format (PNG or BMP).
  5. Leave the app running — it needs an active connection to receive capture requests. Closing it disconnects the room immediately; if it crashes instead of closing cleanly, the room takes up to 90 seconds to free up on its own.

Step-by-step: requesting a capture (staff)

  1. Open the patient's chart → X-Rays tab.
  2. Either open an existing X-ray record or start a new one; pick the layout/type as usual.
  3. Click Acquire on the specific slot that should receive the capture.
  4. If more than one room is connected, pick the correct one from the dropdown, then Send Request. If only one room is connected, it's pre-selected automatically.
  5. On the desktop app side, an operator sees the request pop up and must Accept or Reject it — this isn't fully automatic, a person at the scanner is always in the loop.
  6. Watch the status widget in the bottom-right corner. No action is needed while it moves through Waiting → Accepted → In Progress → Captured → Waiting for upload → Uploading.
  7. When it reaches Completed, click View X-Ray to jump to the finished image, or just continue working — the widget can be dismissed at any time and the image is already saved.
  8. If something goes wrong (Rejected / Failed / Timeout), the widget explains why (when a reason is available) and offers Dismiss. Trainees should know: dismissing just clears the widget, it does not retry — they need to click Acquire again to start a new request.
  9. To cancel a request that's still Waiting or Accepted, use Cancel Request in the widget (or the cancel icon in the Logs table). An admin can also cancel a request belonging to a different staff member if needed; regular staff can only cancel their own.

Common trainee mistakes to call out

  • Clicking Acquire before confirming the desktop app is actually running and connected — walk through what the "No desktop app connected" message means (see For Support) so it doesn't get mistaken for a Dentolize outage.
  • Assuming any staff member can request a capture — it depends on their permission group, so pair this training with a reminder to check Settings → Groups if a trainee reports the button is missing (and confirm the clinic is actually in the beta before troubleshooting further).
  • Treating the Access Key drawer as reusable — reinforce that the key is single-reveal and the drawer cannot be reopened to view it again; revoking and recreating is the only recovery path.
  • Confusing "revoke" with "delete" — a revoked key stays visible in the list (for audit purposes) with a "Revoked" status; it doesn't disappear, which can confuse a trainee expecting it to vanish.
