For Training
Two audiences to train separately: clinic/pharmacy staff (buyers) and supplier staff (sellers). Below is a step-by-step for each, matching the real screens in the Walkthrough.
Training clinic/pharmacy staff (buyer side)
Where to find it: Inventory → Procurement (clinic-web) or Procurement in the main nav (pharmacy-web).
- Check the Reorder list tab first. This is pre-computed for you — anything below its preferred stock level shows up here automatically with a suggested order quantity. If an item shows a green "mapped" tag, you can jump straight to searching suppliers for it via "Find suppliers."
- Search the Marketplace tab for what you need — by product name or SKU. Each result shows the price, minimum order quantity (MOQ), and lead time from that particular supplier.
- Add to cart. Notice the cart is grouped by supplier — you're building one order per supplier, not one shopping cart across all of them. Adjust quantities directly in the cart.
- Place the order. Once placed, it moves to the Orders tab and the supplier now sees it in their own inbox.
- Watch the Orders tab for status changes — the supplier will move it through their own fulfilment steps (accepted → preparing → shipped → delivered). You don't need to do anything until it's shipped or delivered.
- Receive into stock. Once the order shows Shipped or Delivered, click "Receive into stock." This is the one step staff must remember to do — it's not automatic. Important: every product on the order needs to already be linked to one of your stock items, or the receive will be blocked and tell you exactly which product(s) need linking. Train staff to map new products to inventory before trying to receive, if they know they're ordering something new.
Key thing to emphasize in training: receiving is what actually updates your stock count and books the bill — an order sitting at "Delivered" without being received hasn't touched your inventory or your accounting yet.
Training supplier staff (seller side)
Where to find it: the separate Supplier Portal app (their own login, not the clinic-web/pharmacy-web login).
- Dashboard first — shows listing counts, open/delivered order counts, RFQ invites, and your current plan's capabilities (what's active, what's locked). Good orientation stop before anything else.
- Add your listings — Listings page → "+ Add listing." Fill in name, price, MOQ, pack size, lead time, and availability. Note the listing cap: if your plan limits how many listings you can have, the "Add listing" button disables once you hit it (with an upgrade prompt) — this isn't a bug, it's your plan's quota.
- Watch the Orders inbox — new orders arrive at "Placed." Train staff on the state flow: Placed → Accepted → (optionally) Preparing → Shipped → Delivered. Preparing is optional — you can go straight from Accepted to Shipped if there's no separate prep step for your business.
- Important limitation to train on: once an order is marked Shipped, it can only be moved to Delivered from that point — there's no "cancel" option after shipping in this version. Make sure staff double-check before marking Shipped.
- RFQs (if your plan includes it) — an inbox of buyer requests-for-quote. Open one, price each line, set lead time and any delivery/discount, and submit. If you don't see this tab, or it shows locked, that's a plan-tier feature — check your subscription.
- Accounting (if your plan includes it) — currently a simple confirmation that accounting is provisioned for your account; the fuller ledger view is still being built. Don't expect a full accounting suite here yet — train staff not to look for invoices/reports on this page in this milestone.
Key thing to emphasize in training: you don't create invoices manually for marketplace sales — marking an order Shipped or Delivered posts the revenue to your books automatically.
